Position Description:

The Ancillary Senior Task Leader (Records Management) manages the day-to-day operations of the ancillary team, in two separate locations, Silver Spring, MD and Landover, MD in support of our customer, the Food and Drug Administration (FDA). The position will be based in Landover, MD and report to the deputy project manager and the project manager. The ancillary team performs three main functions: receiving and processing mail, high volume scanning of documents, and shredding of documents that have been retired. This position is expected to lead and manage the team in all facets of the ancillary team's operations, and provide support to the entire workforce that is served by the ancillary team.

Required Qualifications:

• 3-5 years of records management or mailroom experience.
• Must have strong interpersonal skills to foster optimal relationships.
• Should be detail oriented and efficient.
• Able to work in a high volume and fast-paced environment where organizational skills are key.
• Minimum of high school degree or GED equivalent, plus 1 year of related experience; or any equivalent combination of education and experience which provides the above knowledge, skills and abilities.
• Must possess an in-depth background with computer use to include a working knowledge of the standard Microsoft Office Suite and Adobe products.
• Have experience working in areas such as document tracking databases, scanning and micrographics.
• Must be able to work in a fast-paced paper and electronic production environment.
• Excellent oral and written communication skills.
• Experience handling confidential material.
• Ability to lift objects 30-50 lbs., sit/stand/walk throughout the day, perform data entry, work in a fast-paced environment, bend and stretch to reach files, and push a cart.
• Possess or be able to obtain/maintain a Government FDA Clearance.

Preferred Qualifications:

• Previous supervisory experience.

Essential Functions:

• Provide immediate supervision to the ancillary team, assign tasks and verify the accuracy of worker/team production.
• Ensure adequate staffing for peak work periods.
• Develop efficiencies that deliver processed mail to outside teams in the fastest and most accurate way possible.
• Monitor and ensure the quality of scanned documents.
• Maintain all records and reports accurately and efficiently for quality assurance and auditing purposes.
• Maintain all of the equipment in the ancillary suite, to include computers, high volume scanners, and a commercial shredder.
• Maintain the ancillary team courier van.
• Manage a team of 6-7 personnel in two locations.
• Maintain, track and order supplies for the ancillary team.
• Implement Standard Operating Procedures (SOPs) and train staff accordingly.
• Review and monitor employee performance for completeness and adherence to standards (timeliness and quality).
• Assist with compilation of monthly reports.
• Triage incoming mail brought by several commercial and private courier services, while ensuring all applicable documentation is complete and accurate.
• Enter baseline information into a web-based tracking application.
• Follow proper protocol for misrouted or misdirected mail, assuring its proper delivery.
• Examine outgoing mail for appearance and seal envelopes
• Develop and maintain "operations documentation" for each position.
• Perform extensive quality control activity; carry out 2nd level quality reviews on work performed.
• Shred paper documentation marked for destruction ensuring FOIA compliance.
• Follow-up on corrections and problem areas identified or areas where procedural clarifications are needed, including reporting all quality or performance problems to Project Management staff.

Work Conditions:

• Work is primarily performed in an office environment.
